INDUSTRY SOLUTION

Process management and software for car rental.

In car rental, money is lost in two places: when the same car is promised to two customers, and when a car comes back and nobody can prove how it left. Without a photo of the damage, or without knowing which rental a fine belongs to, the company pays. Tenderely BPM ties bookings, handover sheets, damage and fines to the car's record, and the system adapts to how you work, not the other way round.

What does a car rental business repeat?

01
Bookings and availability
You need to see at a glance which car is free on which dates, and two overlapping rentals must never land on the same car.
02
Seasonal tariffs
The daily rate depends on segment and date range; write the season's price on the car itself and the old price is forgotten when the season ends.
03
Handover and return
Mileage, fuel level and damage photos must be recorded the same way when the car leaves and when it returns, so the two can be compared.
04
Damage files
Damage found on return or after an accident needs a repair quote and a decision on whether the cost goes to insurance or to the customer.
05
Traffic fines and tolls
A fine or toll charge should be passed to whichever customer had the car on the date of the offence.
06
Fleet deadlines
Inspection, traffic insurance and comprehensive cover are separate dates, and servicing is tracked by both mileage and date.

Where does this break down today?

The same car is rented twice
With bookings in a spreadsheet or a book, a clash is only noticed when the customer is already waiting at the desk.
Damage cannot be proven
If no photo was taken at pickup, a scratch found on return becomes an argument, and the cost usually stays with the company.
Fines quietly become expenses
When a fine arrives months later, finding the customer is manual work; a fine nobody can match becomes the company's cost.
Insurance and inspections slip
Squeeze three separate dates into one reminder and one of them is missed, leaving a car on the road with expired papers.

What changes with Tenderely BPM

01
Clashes are blocked on save
Overlapping dates for the same car cannot be saved, and fleet occupancy by day reads row by row on a schedule view.
02
A rental runs as a workflow
Booking, handover, return and account closing follow in order, and each step records who owns it and when it happened.
03
Handover and return on one form
Mileage, fuel and damage photos go into the same fields on the way out and the way back, so how the car left and returned is visible on one record.
04
Damage and fines get decided
A damage file moves from repair quote to a billing decision and collection inside the workflow, and fines not yet passed on show on the dashboard.
05
Deadlines remind themselves
Return days, inspections, traffic insurance, comprehensive cover, servicing and customer licence expiry trigger in-app, e-mail, SMS or push notifications.
FAQ

Is there a ready-made car rental setup?

+
Yes. The Car Rental package installs with forms, rental and damage workflows, dashboards and reports. Forms arrive as drafts and automations start switched off, so you adjust them to your business and then publish.

We have several branches and pickup points. Does that work?

+
Yes. Offices, airports or hotels are separate pickup-point records, and each rental has its own pickup and return location.

Can staff do handovers on a phone?

+
Yes. A published form works on the web and in the iOS/Android app at the same time, so the handover sheet is filled in next to the car and photos go straight onto the record.
