INDUSTRY SOLUTION

Process management and software for property management.

In property management every month starts the same way: service charges are raised, collected, and expenses are approved and paid. In between come a broken lift, a maintenance contract about to expire and a resident asking which flats are in arrears. Tenderely BPM ties all of it to the unit's record, and the system adapts to how your management works, not the other way round.

What does property management repeat?

01
Service charge accruals
Each month every unit is charged according to its share or coefficient, and it must be clear whether the owner or the tenant pays.
02
Collections and arrears
Which units have paid and which are late should be visible at any moment, and debts past the due date should be noticed.
03
Expenses and approval
An invoice should not be paid before an accounting check and board approval; high-value expenses need extra attention.
04
Repairs and requests
A resident's request is triaged, assigned to staff and carried out, and the resident who raised it should confirm the job is really done.
05
Common area servicing
Periodic servicing and inspections for lifts, generators and fire systems must happen on time; some are legal requirements.
06
Suppliers and notices
Supplier contract end dates need watching, and notices to residents and board decisions belong on record.

Where does this break down today?

Charges are prepared by hand each month
Accruals are built flat by flat in a spreadsheet. One shifted row puts a debt on the wrong unit, and the complaint lands on the management's desk.
Repair requests stay on the phone
A fault mentioned to the caretaker is never written down. When the resident reports it for the third time, nobody knows when it was first raised.
Nobody knows who approved what
Ask which invoice was paid with whose approval and the answer is in a group chat, which makes accounting to residents hard.
Service dates slip
If a lift or fire-system inspection relies on a supplier's reminder, the management learns about the delay at the inspection.

What changes with Tenderely BPM

01
Accruals on one screen
Pick a site and its units fill the accrual list automatically; no record per flat, and the total and unit count are calculated.
02
Expenses are an approval flow
An invoice moves through accounting check, board approval and payment in order, and recording a high-value expense notifies the management.
03
Residents raise their own requests
A resident is invited as a linked user, sees their own unit's charges, opens repair requests and confirms when the job is done.
04
Arrears and costs on the dashboard
Collected and overdue charges, unpaid expenses and repair cost per site read straight off the dashboard, with several sites managed in one place.
05
Dates remind themselves
Payment deadlines, overdue charges, periodic servicing and expiring supplier contracts trigger in-app, e-mail, SMS or push notifications.
FAQ

Is there a ready-made property management setup?

+
Yes. The Property & Facility Management package installs with forms, expense approval and repair workflows, dashboards and reports. Forms arrive as drafts and automations start switched off, so you adjust them and then publish.

Can we manage several sites from one account?

+
Yes. Each site is its own record; units, charges, expenses and repair requests are linked to it, and dashboards break figures down by site.

Can residents see other flats' debts?

+
No. A resident who accepts the invitation sees only their own unit's records and the requests they opened, and you decide which fields are visible.
