INDUSTRY SOLUTION

Process management and software for estate agencies.

An estate agency works at the intersection of two lists: the properties you hold and the buyers who have told you what they want. While both lists live in people's heads, matches are missed, viewings are forgotten and commission is argued over. Tenderely BPM records both.

Isometric illustration of listings and buyer matching in an estate agency

What does an estate agency repeat?

01
Listing records
Location, size, rooms, price, photographs and the owner's details belong together — and must be searchable.
02
Buyer requirements
If what someone is looking for is not recorded, matching depends on an agent's memory and leaves when they do.
03
Viewings and feedback
Which property was shown to which buyer, and what they said; an untracked viewing simply happens twice.
04
Paperwork and completion
Title, identity and compliance documents — a missing one postpones the appointment, so who holds what must be visible.
05
Contracts and commission
Commission rate, split and collection need recording; a verbal understanding turns into an internal dispute.
06
Keeping owners informed
How many people viewed and what they said: regular updates are what keep an instruction on your books.

Where does this break down today?

The book is on an agent's phone
Records live in personal notes and photo galleries. When the agent leaves, the listings and the buyers leave with them.
Matching cannot happen
Which waiting buyer suits a new instruction is only seen if somebody happens to remember.
Viewings are not tracked
The same flat is shown to the same buyer twice, and feedback is never written anywhere.
Commission splits are disputed
When two agents touched the same deal and nothing was recorded, month-end becomes a negotiation.

What changes with Tenderely BPM

01
Listings belong to the agency
Records sit with the company rather than a person, so listings, buyers and history stay when an agent moves on.
02
Requirements match listings
Because what buyers want is held in fields, it can be filtered, and suitable properties can be listed.
03
Viewings and feedback recorded
Each viewing is a step, what was said is captured, and owner updates come straight out of it.
04
Paperwork status is visible
What arrived and what is missing sits on a dashboard, so completion is never booked against a gap.
05
Commission from the record
Because who touched the deal is recorded, the split is a result from data rather than an argument.
FAQ

Can we publish listings on our own website?

+
Your listing records live in Tenderely, and a public form can collect enquiries from outside straight into your process. The API and webhooks let you exchange data with your own site.

Do listings stay if an agent leaves?

+
Yes. Records belong to the company, not the person. Unit-, role- and field-level permissions can limit an agent to their own listings, but the record stays with the agency.

Can we manage contracts and commission too?

+
Yes. The contract step, commission rate and split are parts of the same record and formulas are configured without code. Approval chains and payment tracking live in the same flow.
