INDUSTRY SOLUTION

Process management and software for technical service.

Every job in technical service starts with the same questions: who goes, when, and is the part in stock? Then come the next ones: did the customer approve the price, is the device under warranty, is the job done, has it been paid? Tenderely BPM ties all of it to the work order and the device record, and the system adapts to how your service works, not the other way round.

What does a technical service business repeat?

01
Work orders and scheduling
A fault or maintenance request should go to a technician with a real time slot, and one technician must not get two overlapping jobs.
02
Diagnosis and customer approval
After diagnosis, chargeable repairs should not start before the customer approves; an invoice that arrives later otherwise becomes an argument.
03
Spare parts
Parts used on a job should come out of stock, a part that is not in the store should get an order, and the waiting job should be linked to it.
04
Devices and warranty
Each device needs its serial number, warranty end date and service history, and warranty work should not be counted as revenue.
05
Maintenance contracts
Planned servicing for contracted devices has to be scheduled, and the contract scope decides whether a job is chargeable.
06
Handover, payment and satisfaction
A tested and handed-over job is invoiced and its payment tracked, and the customer's rating should be read the same day.

Where does this break down today?

The schedule lives on the phone
Who goes where changes by phone throughout the day. When two jobs land on the same hour, a customer waits for nothing.
Approval stays verbal
The price is agreed on the phone and never written down. When the invoice arrives, the customer says they never accepted that amount.
Parts run out unnoticed
Because stock is not counted, a part turns out to be missing while the technician is at the customer, and the job needs a second visit.
Planned servicing is forgotten
When contract service dates sit in a spreadsheet, one slips, and the customer only mentions the service they paid for once something breaks.

What changes with Tenderely BPM

01
A work order is a workflow
Scheduling, diagnosis, price approval, repair, test and handover, and invoicing follow in order; each step goes to the assigned technician and is time-stamped.
02
Clashes are blocked on save
A second job cannot be saved for a technician in an overlapping slot, so planning follows recorded times instead of guesses.
03
Parts stock reads from records
Parts used are entered inside the work order and the amount adds up automatically; a part at critical level raises a warning and orders follow an approval flow.
04
Satisfaction is measured
The customer's score after each job is recorded, a low score is reported to the person responsible, and satisfaction per technician reads off the dashboard.
05
Dates remind themselves
Warranty ends, contract ends, planned servicing and overdue work orders trigger in-app, e-mail, SMS or push notifications.
FAQ

Is there a ready-made technical service setup?

+
Yes. The Technical Service package installs with forms, work order and part sourcing workflows, dashboards and reports. Forms arrive as drafts and automations start switched off, so you adjust them to your service and then publish.

Can customers see their own devices?

+
If you want them to. A customer is invited as a linked user and sees only the information linked to their own record, and you decide which fields are visible.

Can technicians work from a phone on site?

+
Yes. A published form works on the web and in the iOS/Android app at the same time, so the diagnosis, parts used and handover are entered on a phone at the customer's site.
