Where does this break down today?

Trip status comes by phone
Someone rings the driver, who gives an estimate. The office passes the estimate on, and nobody records anything.
The document rides in the cab
The signed note reaches the office days later. Until then no invoice goes out and no money comes in.
Expenses are collected afterwards
Receipts arrive in an envelope at month-end, and which trip they belong to is usually written from memory.
Document expiry slips
A vehicle with a lapsed inspection goes out; the fine is the consequence of a forgotten date.

Do drivers have to use the app?

A published form runs on the web and in the iOS and Android apps at once, and a driver sees only their own trip and the step to fill in. You can also have the customer confirm delivery through a public form link, with no account needed on that side.

Will it talk to our telematics system?

Yes. An inbound webhook lets an external system open or update a record directly, and an outbound webhook pushes trip status back to your own system. API keys and Excel/CSV transfer are also available.

Can expense approval depend on the amount?

Yes. Conditional branching is configured without code: spend below your threshold passes straight through, above it goes to a manager. The rule lives in the flow, not in a policy document.
